Building It Into Your Event Workflow

Make guest photo collection a standard part of your pre-event setup — not an afterthought.

One week before the event:

  • Create a gallery for the event on a dedicated platform
  • Get the QR code
  • Include QR code placement in your venue layout plan

Day of setup:

  • Print QR codes on table cards, tent cards, or A5 signs
  • Place one on every table and near any photo-worthy backdrop or display
  • Brief the MC or host on a 20-second prompt to make during the event

During the event:

  • Have the MC make the announcement during dinner or a natural pause
  • Brief a team member to help any guests who need assistance scanning

Day after:

  • Deliver to the client with a brief note on how many uploads were received

What to Look for in a Platform

For a professional event planning context, you want a platform that:
