Team-building events are designed to create shared memories. But without a photo collection system, those memories stay in individual camera rolls rather than becoming company assets — and the HR team ends up with a thin photo collection from a day that generated hundreds of images.

Here's how to capture it all.

The Team-Building Photo Challenge

Team-building events have a specific photo collection challenge that makes them different from a company dinner or conference:

Simultaneous activities. If you have 100 employees split across 10 team-building activities, the photos are happening in 10 different locations at once. There's no single stage or table where a photographer can be stationed.

Movement. Activities move around — teams rotate through stations, go on outdoor activities, travel between locations. Photos are taken throughout, not at a fixed moment.

Mixed participants. Teams are often deliberately mixed across departments and seniority levels. The photos people take reflect their particular team's experience, not the event overall.

The informal moments. The best moments at team-building events are often the ones between activities — colleagues who've never worked together directly discovering they have a lot in common, the competitive team that takes their scavenger hunt extremely seriously, the group that genuinely surprised themselves.

The Setup

Before the event: Create a gallery and generate the QR code. The gallery name should reference the event specifically — "Acme Co Team Day, March 2025" — so it's clearly identifiable.

Briefing participants: Include the gallery information in the pre-event briefing or the day-of agenda. "Throughout today, please add your photos to our shared gallery — you'll find the QR code in your event pack / on your team card / displayed at each station."

At each activity station: If activities happen at fixed stations or rooms, place a QR code at each one. Participants see it as they engage with the activity and are primed to upload immediately after.

During the Event

For outdoor or moving activities, the QR code can't be displayed at a fixed point. Instead:

  • Print the QR code on participant lanyards or name tags
  • Include it on team challenge cards
  • Have the facilitator remind participants to scan and upload during break times

A brief reminder from the facilitator mid-event — "remember to add your photos to the shared gallery before the day is over" — is usually enough.

What to Do with the Photos

Immediate post-event:

  • Download the full gallery
  • Share a highlights selection with all participants within 48 hours — people are most interested immediately after the event
  • Send to HR and the event organiser for their records

For internal use:

  • Share in the company newsletter or intranet
  • Use in future recruitment materials showing company culture
  • Share with the leadership team as documentation of participation and energy

For LinkedIn: Team-building event photos that show genuine engagement (not posed corporate photos) perform well on LinkedIn. Select 5–10 photos that capture real moments.

The Post-Event Gallery Share

One of the most effective things you can do after a team-building day is share the full gallery with all participants. A message like:

"Here are all the photos from yesterday — including everything your colleagues captured. Worth a browse to see what was happening in the other teams!"

This gives participants a window into activities they weren't part of and extends the social connection the event was designed to create. It also generates comments and reactions as people tag and identify themselves, which reinforces the community aspect.
